Configuring Work Hours, Leave Tables, and Holidays

1. Configuring Work Hours (Work Tables) #

Work Hours define the standard working schedules for employees.


1.1 Accessing Work Hours Setting #

  1. Log in with HR/Admin access.

  2. Navigate to:
    Configuration → Tables → Work Tables

  3. Click Add New or Edit.


1.2 Work Hours Configuration Options #

a. Work Table Name #

Name the schedule such as:

  • “Standard Office Hours”

  • “Work Tables 1 ”

b. Working Days #

Tick the days the employee is required to work:

  • Monday to Friday

  • Saturday (optional)

  • Sunday (optional)

c. Daily Start & End Times #

Set:

  • Start Time (e.g., 09:00 AM)

  • End Time (e.g., 06:00 PM)

d. Break / Meal Time #

Configure optional break periods:

  • Lunch break (12:00 PM–1:00 PM)

  • Multiple breaks if required


1.3 Assigning Employees to Work Tables #

Once created:

  1. Go to Employee Profile

  2. Open Payroll section

  3. Select the correct work tables

  4. Save

All attendance & payroll calculations follow the assigned work table.


2. Configuring Leave Tables #

Leave Tables define leave entitlements, types, and proration rules.


2.1 Accessing Leave Table Setting #

  1. Go to:
    Configuration → Tables → Leave Tables

  2. Click Add New Leave or Edit Existing.


2.2 Leave Types #

System typically supports:

a. Paid Leave #

Fully paid, no salary deduction
Examples:

  • Annual Leave

  • Sick Leave

  • Hospitalisation

  • Childcare Leave

b. Unpaid Leave #

Unpaid, salary is prorated based on formula:

Deduction = Basic Salary ÷ Working Days × Unpaid Leave Days

c. Off-In-Lieu (OIL) #

Paid time off granted for overtime or PH work.


2.3 Leave Entitlement Configuration #

a. Annual Entitlement #

Set number of days per year:

  • Example: 14 days annual leave

  • Optional carry-forward rules

b. Pro-Rated Leave for New Joiners #

Enable pro-rating using:

  • By month (Entitlement ÷ 12 × Months Worked)

c. Max Carry Forward #

  • Set how many days can be carried


3. OT Tables (Overtime Rules & Rates) #

OT Tables define how overtime is calculated, including multipliers, day types, and thresholds.


3.1 What Are OT Tables? #

OT Tables determine:

  • OT rate (e.g., 1.5x, 2.0x)

These rules are applied automatically during payroll.


3.2 Accessing OT Table Settings #

  1. Go to:
    Configuration → Tables → OT Tables

  2. Click Add New OT Rule or edit an existing one.


3.3 OT Table Configuration Fields #

a. OT Rule Name #

Examples:

  • 1.5 Times Payment

  • 2.0 Times Payment


b. OT Rate Formula #

Define the overtime rate:

    • 1.5 × basic hourly rate

    • 2.0 × hourly rate (PH OT)

    • Custom multiplier allowed
